How to Create a Course

Creating Courses in the Online School scheduling dashboard

LearnCube’s course creation and scheduling tool gives school admins a lot of control and flexibility over courses.


To create a course, you can click on Add Course Schedule from your Add Class or Class Admin drop-down menus, or click on Add Course from your Scheduling Dashboard.


Course Details

First, you will need to enter some basic details for your course.

  • A course must have a teacher assigned and the start date must be in the future.

  • To create a group course, change the number of available seats.

  • To create a course of one-to-one classes, leave the available seats value at 1.

The course details are very similar to the class details for a one-off class, with the following exceptions:

Time & Date

There is no need to set a start time in courses, as this will be set later. Only the start date is required.

Course Type

As well as categories, you can now set the Course Type, or add a new Course Type if needed by clicking the + icon.

Self-Enrol

Tick this box if you want to create an open enrolment course.

This means that students will be able to self-enrol into individual classes in this course.

  • Note: This option is only useful if your school’s booking configuration allows student self-booking in group classes.

When you have set all of the course details, click the Save button.


Set a Class Schedule

Next, click the Add Classes button on the bottom right of the Course Classes panel.

Here you can set:

  • Start date

  • Time

  • Duration

  • Frequency

  • Days of the week

You can choose to end the schedule after X classes or on a particular date.

When you are happy with your schedule, click Create, and you will see the classes appearing in your list marked as Pending.

If your teacher already has a class at the time chosen, you will see a warning notification, and you can deselect those classes before confirming.

Once you have double-checked the pending classes, click Confirm Pending at the bottom, and your course schedule will be set.


Adding Schedules with Varying Start Times

It's possible to create a course with multiple start times.
For example, if a course runs:

  • Every Wednesday at 3 p.m., and

  • Every Thursday at 4 p.m.

First create the 3 p.m. classes, and then create the 4 p.m. classes.

Once you are happy with your class schedule, you can enrol students.


Enrolling Students

To enrol students, click on the Available tab on the Student Panel. This will show you a list of all students who are available and have sufficient credits.

You can search for the student by username or name using the search bar.

To add a student click on the Add button.

Then, click on the Pending tab to double-check your student list. When you are happy, click the Enrol button on the bottom right.

When you confirm Pending students, they will be enrolled into all classes in the course, and you will see them in the Enrolled tab.


Partial Enrolment

If you want to add students to only some classes in a course, but not all:

  • Select the classes you want using the checkbox in the Course Classes panel.

  • Then navigate to the Students panel and enrol available students as normal.

Students who are enrolled in only some classes will show up in the Part Enrolled tab.

In your Course Classes panel, you can hover over the Enrolled field to see which students are enrolled in which class.


Editing a Course

It is only possible to make changes to future classes in a course.

  • To edit an individual class, click on the Edit button beside that class.


  • To make general changes to the whole course, click on the Edit button in the Course Detail panel.
